1. Introduction
PayrollSmart (“we”, “us”) provides managed payroll and payroll tax optimisation services to UK businesses. We are the data controller for personal information collected through this website (payrollsmart.co.uk) and in the course of providing our services. This policy explains what we collect, why, and the rights you have. We take the protection of payroll data seriously — it is the core of what we do.
2. What we collect
We collect information you give us directly — for example when you request a free payroll review, contact us by phone, email or WhatsApp, or become a client — and limited technical information collected automatically when you use this site.
- Identity and contact data — your name, company, email address and telephone number.
- Business and payroll information — headcount, approximate PAYE & NI figures you provide in an enquiry, and, for clients, the payroll records needed to run your payroll.
- Correspondence — messages you send us, including via the contact form or WhatsApp.
- Technical data — IP address, browser type and pages visited, collected automatically for security and to keep the site working.
3. How we use your information
We use your information to respond to enquiries and provide a free payroll review (legitimate interests and steps prior to a contract); to deliver payroll and tax optimisation services to clients (performance of a contract); to meet legal and regulatory obligations, including those owed to HMRC (legal obligation); and to keep this website secure (legitimate interests). We do not sell your information, and we do not use it for third-party marketing.
4. Sharing
We share information only where the service requires it or the law demands it: with HMRC in the course of operating client payrolls and making claims you are entitled to; with pension providers for auto-enrolment duties; with service providers who help us run this website and deliver messages (for example our form delivery and hosting providers); and with professional advisers or regulators where required. If you contact us on WhatsApp, your messages are also handled by WhatsApp under its own privacy policy.
5. Retention
Enquiry details are kept for up to two years so we can deal with your request and any follow-up. Client payroll records are kept for the period required by HMRC rules — currently at least three years after the end of the relevant tax year — and other engagement records for up to six years in line with limitation periods.
6. Your rights
Under UK GDPR you have the right to access the personal data we hold about you, to have it corrected or erased, to restrict or object to our processing of it, and to receive a copy in a portable format. To exercise any of these rights, contact us using the details below. You also have the right to complain to the Information Commissioner's Office (ico.org.uk) if you are unhappy with how we handle your data.
